Purpose of Processing Personal Data
The purpose of the register is to act as SunVoima Oy's customer data register. Data may be used for the following purposes:
Managing the customer relationship and communication
Delivery of orders and execution of installation projects
Invoicing and arranging potential financing
Managing future warranty and maintenance operations
Regular Sources of Data
The primary source of information is the customer directly (e.g., via contact forms, email, or orders).
Data Content of the Register
The register mainly contains information provided to SunVoima Oy by the customers themselves. The register may contain the following data categories:
Basic customer and contact details (e.g., name, phone number, email address, physical address)
Order, delivery, and installation site details (e.g., property information for installation and future maintenance)
Personal identification number (if necessary for credit control, invoicing, and financing services)
Other necessary information provided by the customer or related to managing the customer relationship
Regular Disclosure of Data
Customer data may be disclosed to subcontractors participating in installations to deliver the products and services ordered by the customer.
Data related to invoicing, financing, and accounting is disclosed to payment processors, financing companies, and external accountants.
Data is not disclosed to other third parties within or outside the EU.
Data may be disclosed to authorities if they submit a request based on Finnish law.
Principles of Register Protection
Manual material: Any physical documents (e.g., accounting material) are stored securely so that they are accessible only to specifically designated persons bound by a confidentiality obligation.
Electronic data: Customer data is stored in electronic information systems protected by appropriate technical security measures (such as passwords and firewalls). Only specifically designated SunVoima Oy employees or partners participating in the installation have access to the register data to execute the project. The data is treated as confidential and must not be disclosed to anyone other than those who need it for their work and are bound by a confidentiality obligation.
Right of Access
Data subjects have the right to inspect what data concerning them has been stored in the personal data register. A written inspection request must be sent to the person responsible for register matters. The right of inspection is free of charge when exercised a maximum of once a year.
Data Retention Period
We retain personal data for the time necessary to manage installation projects, warranty periods, potential future maintenance, and the customer relationship. Additionally, we retain data for the period required by statutory accounting obligations (6 years in accordance with the Finnish Accounting Act).
